Measure the surfaces. Make the scope clear.

A few labelled dimensions can turn a vague room description into a useful starting point. Keep the measured surfaces, openings and work boundaries visible instead of sending one unexplained total.

Send a simple surface schedule with units and unknowns. Let the contractor verify quantities and material requirements.

01

Give every surface a label

Sketch the room and label the walls A, B, C and D. Use the same labels in your notes and photographs. Mark the ceiling separately, even where its dimensions happen to match the floor. For partial work, draw the boundary of the affected area rather than including the whole room.

A measurement sheet you can copy into your project notes
SurfaceDimensions to recordScope note
Each wallWidth × height, in one consistent unit.New board, existing board to remain, finishing only, or unknown.
CeilingLength × width for each simple rectangular portion.Flat, sloped, stepped or not safely measurable.
OpeningsDoor and window widths and heights, recorded separately.Include the position and any returns that are part of the work.
Extra facesBulkhead sides, soffits, alcoves and short returns.Label each face so it is not hidden inside the main wall total.
Local repairApproximate visible width and height of the damage. An observation only; the final repair boundary still needs assessment.
02

A worked example: room area is not board area

Illustrative dimensions only: a simple room is 12 ft long, 10 ft wide and 8 ft high. The following arithmetic describes its gross rectangular surfaces before openings or any special details. It is not a material order or an estimate.

Example · all four walls and one flat ceiling
SurfaceCalculationGross area
Two long walls2 × 12 ft × 8 ft192 sq ft
Two short walls2 × 10 ft × 8 ft160 sq ft
Four walls together192 + 160352 sq ft
Ceiling12 ft × 10 ft120 sq ft
Walls plus ceiling352 + 120472 sq ft

The floor is 120 sq ft; the gross wall-and-ceiling total is 472 sq ft. An enquiry that says only “a 120 sq ft room” leaves that distinction unresolved. If only two walls are affected, list those walls rather than using the full-room total.

03

Keep openings separate from the total

Supply both the gross dimensions and the door or window dimensions. Ask the estimator how openings will be treated in their quantity basis. Do not assume a subtraction from your area will produce an equivalent reduction in labour or materials.

  • Record a window opening separately from the faces around it.
  • Show where a wall meets a different ceiling height.
  • Split an L-shaped ceiling into labelled simple areas.
  • For slopes or irregular geometry, supply a sketch and mark dimensions needing verification.
  • If you use millimetres, metres, feet or inches, write the unit beside every dimension and keep the sheet consistent.
04

Make uncertainty easy to spot

Use a short confidence note beside each measurement
LabelWhat it tells the estimator
MeasuredTaken directly; still subject to the contractor's site verification.
ApproximateA rough dimension suitable for an initial scope discussion.
From drawingInclude the drawing reference and whether it reflects the existing room.
Not measuredIdentify the obstruction or access issue and request verification.

For a repair, distinguish the visible damage dimensions from the proposed finished area. For installation, distinguish existing surface dimensions from any future layout shown in drawings. Keeping these differences explicit makes it easier to revise the scope after assessment.

05

Send the schedule with a short description

  1. Name the rooms and the surfaces included.
  2. Attach or describe the labelled sketch using the contractor's agreed channel.
  3. State the measurement units and any unverified dimensions.
  4. Explain whether board installation, local repair or finishing is being discussed.
  5. Ask the contractor to confirm the quantity basis before you compare estimates or order material.
06

Delta: measure the layers and locations within the actual proposal

Delta’s building guidance asks owners to discuss uncertain project requirements with its Building Division.

After confirming the property’s authority, prepare a surface schedule that explains what is being changed. Separate an existing interior patch from opening an exterior wall or changing a room layout. Label uncertain layers for assessment; dimensions alone cannot decide the project’s requirements.

  • Identify each affected wall, ceiling and opening on a simple room sketch.
  • Keep retained, removed and proposed work separate in the quantity notes.
  • Ask the project lead to confirm which drawings and measurements the final takeoff will use.
Useful to know

A few practical questions.

Should I deduct every door and window?

Record the openings separately and ask how the estimator treats them. Providing the gross surfaces and opening dimensions makes the basis visible; choosing a deduction rule yourself can hide differences between estimates.

Can I order drywall using this worksheet?

Use it for the scope discussion. The responsible contractor still needs to verify measurements, specified products, sheet layout and allowances before materials are ordered.

What if I cannot measure a ceiling safely?

Mark it as unmeasured, describe the room and arrange verification. An honest unknown is more useful than an exact-looking guess or a measurement taken from an unsafe position.
